ApproveLock is an owner-controlled client handoff platform for freelancers, creators, consultants, educators, and agencies. The owner sends a protected preview link instead of the raw file, so the client can review the work — while full access stays locked until the owner decides to unlock it after approval, payment, or final handoff. It adds identity watermarks, access verification, revocable links, and review analytics. This is the Review → Approve → Unlock workflow.

The owner stays in control until the handoff is approved.

The person who uploads the work controls the protected preview, access rules, revocation, and final handoff. Clients can review the work, but full access stays locked until the owner decides it is time to deliver.

The problem is not sharing the file. It is sharing it too early.

When you send the final file before approval or payment, control shifts away from you. The client can save it, forward it, delay feedback, or use it before the handoff is complete.

Sent too early

The final file goes out before approval or payment, and you can't tell if the client opened it, forwarded it, or saved every page.

Control shifts away

Once a raw file lands in a client's inbox, control moves to them. There's no taking it back.

No accountability

Nothing stops a client from using your work before approval, before payment, or beyond the agreed scope.

Review → Approve → Unlock

A protected handoff flow for client work — from first review to final delivery.

1

Review

The owner uploads the work and sends a protected preview link instead of the raw file.

2

Verify

The client enters through the access gate. Their identity can appear on the protected preview.

3

Track

The owner sees who opened the preview, when they accessed it, and active viewing time where available.

4

Approve

The client approves, signs off, or pays through the owner's normal process outside ApproveLock.

5

Unlock

The owner decides when to unlock full access or send the final file.

What is Approval Lock?

Approval Lock is the workflow inside ApproveLock that keeps full access locked while the client reviews a protected preview. The owner decides when to unlock full access or send the final file.

What ApproveLock gives you

You decide when to unlock

Full access stays locked while the client reviews. Set an expiry, revoke access, or unlock when you are ready to deliver.

Protected preview, not the final file

Send a protected preview link instead of giving the client the final file immediately.

Viewer identity on the preview

Each view can be tied to the viewer's identity and shown inside the protected preview to add accountability.

Review activity you can trust

See who opened the preview, when they accessed it, and active viewing time where available.

Send a protected preview. Keep final access locked.

Instead of sending the final file first, the owner sends a protected preview for review — and keeps full access controlled until the right moment to unlock.

Protected preview links

Every document gets a unique, hard-to-guess link. The client does not receive direct access to the final file — they see a server-signed, time-limited protected preview, not a download.

Identity watermarks

Add a visible identity watermark with the viewer details collected by your access settings. Repeated marks help attribute shared previews and discourage casual copying.

Access verification

Require an email or name before viewing and restrict access to a specific allowlist. Any unauthorized email is blocked at the gate and logged.

Revocable & expiring links

Deactivate a link or set an expiry. The server checks current access rules on new preview requests; content already displayed cannot be retrieved.

Review analytics

See who opened your preview and when. Active viewing time and device details are available where supported on higher plans.

Usage & plan visibility

Track your storage, viewing bandwidth, and document usage against your plan from one clear dashboard.

Protected video previews

Share protected MP4, M4V, MOV, MKV, WebM, AVI, and WMV video with plan limits and controlled viewer access.

More about use cases and owner controls

Track review activity — and decide when to unlock

Follow recorded review activity before you deliver the original. Enable identity watermarking to show collected viewer details on the preview, and use access times, active viewing time and device details where available to plan your next step.

  • Identity watermarks with collected viewer details when enabled
  • The client reviews a protected preview — not a raw download
  • Who opened the preview, and when, logged server-side
  • Active viewing time tracked per session where available
  • Recorded denied attempts help you review access restrictions

Built for protected delivery, not just storage

Your original files stay private from upload to delivery. The client only ever sees a protected preview, while full access stays locked until the owner decides.

Private cloud storage

Originals stay in private storage. Clients receive protected previews; original-file downloads require your approval and the download grant's access checks.

You control your share link

Your share link stays controlled by your settings, including revocation and expiration rules. Behind the scenes, ApproveLock uses short-lived server-generated file access URLs, so the original file is never exposed as a permanent public link.

Server-side access validation

Every view request is validated server-side — active status, expiry, email allowlist — before any URL is generated.

Review activity log

Review recorded access activity, with viewer identity, device details and active viewing time where available.

Email allowlist enforcement

Unauthorized emails are blocked before reaching the document. Their attempt is logged so you know who tried.

Server-checked revocation

After a link is deactivated, new preview requests are refused by the server. Already displayed or downloaded content is not retrieved.

Frequently asked questions

What does Review → Approve → Unlock mean?
It means the owner sends a protected preview first, the client reviews it, and the owner decides when to unlock full access or send the final file after approval, payment, or signoff.
Who is the owner?
The owner is the person who uploads and controls the work in ApproveLock. The owner controls access rules, revocation, and the final handoff.
What is ApproveLock?
ApproveLock is an owner-controlled client handoff platform. The owner sends a protected preview link instead of the raw file, so clients can review the work while full access stays locked until the owner decides to unlock it.
What is Approval Lock?
Approval Lock is the workflow inside ApproveLock that keeps full access locked while the client reviews a protected preview. The owner decides when to unlock full access or send the final file.
Does ApproveLock collect payments?
ApproveLock does not collect or hold payments between you and your clients. Clients pay through your normal process; you decide when to approve original-file delivery.
Does access unlock automatically after payment?
No. The owner stays in control. Unlocking or sending the final file is a manual owner decision unless automated payment release is added later.
Can clients review without receiving the raw file?
Yes. ApproveLock is designed to let clients review protected previews instead of receiving raw files first. Downloads, printing, and right-click saving are blocked in the protected viewer.
Why does a protected review open in the Windows app?
The browser is used only to verify the protected link and hand it to ApproveLock Secure Viewer. The protected preview, identity gate, owner decision, and approved download remain inside the Windows app.
What happens after the owner approves a final download?
ApproveLock checks the decision automatically and sends a Windows alert. The app shows how many downloads remain and when the grant expires, then saves an approved download to the Windows Downloads folder without exposing a raw download link.
Can the owner revoke access?
Yes. Owners can revoke or update access to protected preview links. The server applies the current access rules to new preview requests. This does not retrieve content already displayed or downloaded, or guarantee that an open preview closes immediately.
Can I see who reviewed the work?
Yes. ApproveLock shows viewer activity such as who opened the preview, when they accessed it, and active viewing time where available.
What activity is recorded?
ApproveLock can record access activity for the owner, such as who opened a protected preview, when it was opened, and active viewing time where available. Protected previews record access activity for the document owner.
Does ApproveLock prevent every possible leak?
No tool can guarantee that. ApproveLock adds identity watermarking, access control, revocation, and review tracking to make sharing safer and more accountable.
Is video supported?
Yes. Pro and eligible plans support protected MP4, M4V, MOV, MKV, WebM, AVI, and WMV video within plan limits. Playback requires the ApproveLock Windows app.
Can I upload Word or PowerPoint files?
Supported formats are PDF and images, plus MP4, M4V, MOV, MKV, WebM, AVI, and WMV video with Pro or higher. Export Word or PowerPoint files as PDF before uploading.
